Terms & Conditions & Rental Policies for Bluegrass Rides & Rentals

 

Thank you for choosing Bluegrass Rides & Rentals. We are committed to providing you with top-quality service and a seamless rental experience. By renting a vehicle from Bluegrass Rides & Rentals, you agree to the following Terms & Conditions:

1. Rental Agreement

  • All rentals are subject to vehicle availability.

  • Renters must be at least 21 years old and hold a valid driver’s license for the duration of the rental period.

  • A valid credit card must be presented at the time of booking and pickup for security purposes.

2. No Refund Policy

  • Bluegrass Rides & Rentals has a no-refund policy. Once a booking is made and confirmed, it is considered final. We do not issue refunds for cancellations, early returns, or changes in plans.

  • If a vehicle is returned before the scheduled return date, no refunds will be provided for the unused rental period.

3. Vehicle Damage and Liability

  • Responsibility for Damages: The renter is fully responsible for any damage to the vehicle during the rental period, whether caused by the renter, other parties, or environmental factors. This includes but is not limited to damage to the interior, exterior, tires, and mechanical parts.

  • Insurance Options: We offer additional insurance coverage options that can reduce the financial responsibility in the event of damage. Renters are encouraged to review and select appropriate coverage.

  • Reporting Damages: Any damage to the vehicle must be reported immediately to Bluegrass Rides & Rentals. Failure to do so may result in additional charges and loss of coverage.

  • Repair Costs: If the vehicle is damaged during the rental period, the renter will be charged for the cost of repairs, including labor, parts, and any additional fees incurred due to the damage.

4. Vehicle Theft

  • Theft Responsibility: In the unfortunate event that the rented vehicle is stolen during the rental period, the renter will be held fully responsible. The renter will be charged for the full replacement cost of the vehicle, which includes but is not limited to the vehicle’s market value, taxes, administrative fees, and any costs incurred from the loss.

  • Reporting Theft: If the vehicle is stolen, the renter must immediately report the theft to local law enforcement and Bluegrass Rides & Rentals. A police report must be filed within 24 hours of the incident for coverage to apply.

  • Security Deposit: In the event of theft, any security deposit paid will be applied toward the replacement cost of the vehicle. If the deposit is insufficient, the renter will be invoiced for the balance.

5. Rental Period & Extension

  • Rental Duration: All rentals are based on a daily rate unless otherwise specified. The rental period starts at the time of vehicle pickup and ends at the time the vehicle is returned.

  • Late Returns: If the vehicle is returned after the agreed-upon return time, a late fee will be charged. The fee will be based on the hourly or daily rental rate, whichever is applicable.

  • Extensions: If you need to extend your rental, please notify us at least 24 hours in advance. Extensions are subject to vehicle availability and additional charges.

6. Driver Responsibility & Conduct

  • Authorized Drivers: Only authorized drivers listed on the rental agreement are permitted to operate the vehicle. Any additional drivers must be approved in advance and meet the rental requirements.

  • Prohibited Use: The vehicle must not be used for illegal purposes, off-road driving, or racing. Any damage resulting from prohibited use will be the responsibility of the renter.

  • Alcohol and Drugs: The vehicle must not be operated under the influence of alcohol, drugs, or any other substances that impair the driver’s ability to operate the vehicle safely.

7. Tolls & Parking Tickets

  • The renter is responsible for any tolls, parking tickets, or traffic violations incurred during the rental period. Any fines or penalties will be billed to the renter along with an administrative fee.

8. International Renters

  • For international renters, additional documentation may be required, including an International Driver’s Permit (IDP). Renters must also provide proof of valid insurance coverage.

9. Roadside Assistance

  • Bluegrass Rides & Rentals offers roadside assistance for emergencies, including flat tires, lockouts, and other issues that may arise. Charges may apply for certain services, and coverage may vary depending on the situation.

10. Vehicle Substitution

  • Bluegrass Rides & Rentals reserves the right to substitute the reserved vehicle with a similar or upgraded vehicle if the original vehicle is unavailable due to unforeseen circumstances, such as maintenance or repairs.

11. Use Restrictions

  • Off-road driving is prohibited unless the vehicle is specifically designed for such use. Renters must not engage in illegal activities or misuse the vehicle.

  • Smoking inside the vehicle is prohibited. If violated, a cleaning fee will be charged.

12. Cleanliness & Maintenance

  • The renter is expected to return the vehicle in a reasonably clean condition. Excessive dirt, stains, or trash may incur a cleaning fee.

  • The renter is responsible for checking the condition of the vehicle upon pickup. Any pre-existing damage must be reported before leaving the premises.

13. Cancellation Policy

  • Bluegrass Rides & Rentals does not offer refunds for cancellations once a booking is confirmed. If cancellation is made, the full rental amount will be charged. However, if you need to change your booking, we will try to accommodate you based on availability.

14. Personal Belongings

  • Bluegrass Rides & Rentals is not responsible for any lost or stolen personal belongings left inside the vehicle during the rental period. Renters are encouraged to remove all personal items from the vehicle upon return.

15. Indemnification

  • The renter agrees to indemnify and hold Bluegrass Rides & Rentals harmless from any claims, damages, losses, liabilities, or expenses (including legal fees) that arise from the renter's use of the vehicle or breach of this agreement.

16. Governing Law & Dispute Resolution

  • This agreement is governed by the laws of the state of Kentucky. Any disputes arising from this rental agreement shall be resolved through arbitration or in the appropriate court of law.

17. Acknowledgment

By booking with Bluegrass Rides & Rentals, you understand and agree to the Terms & Conditions outlined above.
